A. Processing with the data submitted with the application
personal data

1. do I need to submit personal data?

The submission of an application and thus the provision of personal data is voluntary. There is no legal or contractual obligation to submit an application and thus to transmit the personal data. However, it is not possible to apply without providing the personal data.

2. for what purpose is the data processed?

The data processing is carried out for the purpose of processing your application, in case of acceptance for the implementation and handling of the event as well as for sending information and invitations to future events and projects of this kind (co-)organized by young leaders GmbH.

After participation in an event, the related contractual data will be stored until the expiry of the statutory retention periods under commercial or tax law. In individual cases, further storage and other processing may also take place for the assertion of/defense against claims under civil law.

Right to object:
With regard to the sending of information and invitations to future projects, you have the right to object (see below under “Data subject rights”).

3. to whom will the data be forwarded?

The organizer is the Stiftung politische und christliche Jugendbildung e.V., c/o Treurag AG, Postfach 100565, 55136 Mainz. We will forward data to this office – strictly for a specific purpose, namely exclusively for the purpose of event implementation and billing.

4. what are the legal bases for the processing?

The legal basis for the processing of personal data is

– with regard to the processing of the application and the organization, implementation and billing of the event: Article 6 para. 1 p. 1 lit. b GDPR;
– with regard to the forwarding of the data to the above-mentioned bodies: Art. 6 para. 1 p. 1 lit. b GDPR;
– with regard to the further processing of the data after any participation in an event, compliance with commercial or tax retention periods: Art. 6 para. 1 p. 1 lit. c GDPR. If further storage and other processing takes place for the assertion of/defense against claims under civil law, this is based on § 24 para. 1 No. 1 BDSG.
– with regard to the sending of information and invitations to future events and projects (co-)organized by young leaders GmbH Art. 6 para. 1 p. 1 lit. f GDPR. The legitimate interest lies in pointing out and inviting you, as an applicant with presumed interest, to similar events as well.

5. how long will the data be stored and processed?

The collected data will be deleted when the aforementioned purpose ceases to apply, i.e. after the event has been completed and the termination has been processed, provided that there are no legal obligations to retain the data. Otherwise, they will be deleted at the latest upon expiry of these statutory retention periods. Notwithstanding the above, the data will be used for the purpose of sending information on future events and projects (co-)organized by young leaders GmbH.

– until the consent is revoked or, if no revocation is made,
– until you reach the age of 21

and deleted thereafter, insofar as and as long as this does not conflict with any statutory retention periods.

B. Making photographs and videos
in the framework of the event

Explanation, purpose of processing and legal basis:
During the event, photos and video recordings will be made by us or on our behalf, both as part of the workshops and as documentation of the event itself. These recordings may be published online and offline in the context of coverage of our events by us and by third parties. Insofar as you are recognizable on such recordings, they contain personal data relating to you in the sense of data protection law.

In terms of data protection law, the processing of personal data contained in the photos and videos, in particular their creation and publication, is based on Art. 6 para. 1 p. 1 lit. f GDPR. Our legitimate interest lies in documenting the events we organize pictorially and in reporting and having the events reported to the public.

With regard to the right to one’s own image according to §§ 3 and 4 of the German Data Protection Act, which you are entitled to independently of data protection law. §§ 22 ff. KunstUrhG (“protection of likeness”), we will ask you separately for permission to publish the recordings made in the event of a successful application.

Right to object:
In the case of data processing on the basis of Art. 6 para. 1 Sentence 1 lit. f DSGVO, you have the right to object, without prejudice to further rights. See below (“Data subject rights”).

C. Data subject rights

1. you have the right to request confirmation from us as to whether we are processing personal data relating to you. If this is the case, you have a right to information about this personal data to the extent required by law (Art. 15 DSGVO in conjunction with § 34 BDSG). This does not apply if

– the data is only stored because it may not be deleted due to legal or statutory retention requirements, or
– the data serve exclusively purposes of data protection or data protection control

and the provision of information would require a disproportionate effort, and processing for other purposes is precluded by appropriate technical and organizational measures.

2. you also have the right to request the rectification of inaccurate personal data concerning you and, where applicable – taking into account the purposes of the processing – the completion of incomplete personal data, including by means of a supplementary declaration (Article 16 GDPR).

3. in the cases referred to in Article 17 par. 1 lit. a to f of the GDPR, you also have the right to have the personal data deleted, unless an exception pursuant to Article 17 (a) to (f) of the GDPR applies. 3 DSGVO is given, as well as in the cases of Article 18 para. 1 DSGVO a right to restriction of processing.

4. in the cases referred to in Article 20 par. 1 DSGVO, there is also a right to data portability.

5. you have the right to lodge a complaint with the competent supervisory authority if you consider that the processing of personal data concerning you infringes the GDPR. The competent supervisory authority is the

6. right to object to processing based on legitimate interest

Insofar as the processing of the data is based on Art. 6 para. 1 lit. f DSGVO (“legitimate interest”), you have the right to object at any time to the processing of personal data concerning you on grounds relating to your particular situation.

Automatic decision-making and profiling does not take place.
